Boom Goes The Drum is currently seeking a Vancouver based senior events professional to join our Western Canadian production team. From concept to completion, the Event Specialist acts as the project fulfillment lead. Supporting the creation and execution of event strategy to assist our diverse range of clients in identifying and achieving their objectives.

The ideal candidate possesses strong communication, interpersonal and client relation skills combined with a proven project management background in the event production area. Advanced knowledge of budget management, Microsoft Office (internal and external document development), and familiarity with technology based team collaboration tools are all required. Candidates must have at least 5 years experience in event production planning. Preference will be given to candidates with agency and strong client portfolio management experience. Fluency in English and an ability to travel internationally are requirements for this role.

Event Specialist – Job Description

Based in Vancouver BC, the Event Specialist role is an integral part of our Western Canadian based production team. The Event Specialist is responsible for carrying projects from conception to close. Strategy & creative concept development, project management, client relationship building and ideation are all a part the scope of this role. Tasks will change dependent on the project load and the changing needs of our clients and production team.

Under the direction of the Manager of Production Services, the Event Specialist will be responsible for:

Event Production:

Typical tasks would include, but not be limited to;

  • Collaborate with our sales team to smoothly transition projects to the production team
  • Project/Client portfolio management
  • Leading all aspects of the project fulfillment lifecycle including; project on-boarding, project planning, execution project wrap-up and resale
  • Managing all internal and external project communication
  • Creative direction
  • Development, management and dissemination of Project documents such as:
  • Budget
  • Workback Schedule
  • Production Schedule
  • Show Flow
  • Scripting
  • Floor plans
  • Staff communications & contracts
  • Insurance/Permits, Emergency Response Plan/Health & Safety Documents
  • Development and dissemination of project communication documents to all stakeholders
  • Organizing and leading site meetings with clients and suppliers
  • Supplier and vendor networking and relationship management
  • Conducting onsite meetings/briefs with stakeholders, suppliers and staff
  • Following best practice and unique process compliance set out by the client or relating to project deliverables
  • Tracking and managing project scope and hours
  • Post project follow up such as; debriefs, budget reconciliation, client gifting and resale
  • Support other projects as required

Under the direction of the President and Director of Operations:


  • Assistance with preparing proposals including; strategy development, production budgets work plan creation and creative concept for client pitches
  • Attending sales and client meetings
  • Be an ambassador of the Boom brand by attending public events, event industry participation, and public relations
  • Researching event industry trends and project specific creative

Office Administration/Operations:

  • Contribution to team meetings and participation in team culture building
  • Contribution to the development of best practices
  • Participation in the office Health & Safety program
  • Other duties as assigned

In addition to the above, the candidate must possess:


  • 5 years of experience with large scale event management
  • Exceptional organization skills relating to client/project management
  • Proficiency in Microsoft Office Suite and general knowledge and comfort working with other project management systems
  • Exceptional time management, organizational, verbal and written skills are required
  • Excellent interpersonal and communication skills and the ability to work effectively in a fast paced, complex environment
  • Valid passport and able to travel within Canada, the US, and Overseas is required
  • Valid class 5 drivers license
  • Able to lift 50 lbs and stand for long periods of time

The following are considered to be desirable assets for this role:

  • Event management, meetings or project management Certification and/or Degree
  • Production management, catering/venue or content development knowledge
  • Background in technical direction (stage management, scripting, AV, sound, lighting, show direction)
  • Strong understanding of international or inter-provincial budget management including tax breakdowns, reconciling, and reporting
